Do not start with a feature checklist
Both SharePoint and M-Files can support serious information management. The useful question is how your people work with information today: do they navigate known team spaces, or do they search by what a document is about, who it relates to, and what status it has?
When SharePoint is a natural fit
SharePoint is often a strong starting point when Microsoft 365 is already the centre of collaboration, Teams is widely used, and the organisation is prepared to invest in information architecture, permissions, retention, and adoption as part of the rollout.
When M-Files deserves a closer look
M-Files is worth considering when the same document needs to be found through multiple business contexts, when metadata should drive the experience, or when information lives across repositories and still needs one controlled view.
The first project is usually not migration
Before moving everything, choose one information-heavy process, define its metadata and retention rules, and test how people find and manage the records. A small, well-governed pilot reveals more than a large content migration plan.
